The Halls and Meeting Rooms at the Church are available for hire throughout the week including evenings and weekends for both business and recreational use.  St Mary's is a modern building and has full disabled access including entrance ramps, a lift, wide doorways etc.  There are separate male, female and disabled toilet facilities on both floors.  Both main Halls have kitchens for catering if required.

MINIMUM CHARGES

There is a minimum charge of £25 weekdays and £40 weekends, per session.

 

DEPOSITS

In certain circumstances a deposit will be required in advance and will be refundable following inspection of premises.  For the Halls or Church this is £25 and for the meeting rooms this is £15.  Any damage or breakages will be charged in full together with any handling costs irrespective of any deposit paid.

 

CANCELLATIONS

A full charge cancellation fee will be levied should a cancellation be made within 3 working days of the booking time.  A 50% fee (minimum £25) will be charged should a cancellation be made within 1 working week.  A 25% fee (minimum £20) will be made for other cancellations.

 

BOOKING TIMES

The rooms will only be open at the times booked.  It is important to allow for setting out and clearing up when working out how much time you require. If the booking overruns by more than 15 minutes an extra hour will be charged.

 

CLEARING UP & LEAVING

For the benefit of subsequent users please return chairs and tables to their places at the end of your booking and leave the room clean and tidy. A charge of £15 will be made for clearing up if this is not done.  Please check all doors (including fire exits) and windows are closed and locked.

 

 

CONDITIONS OF USE (Also apply to free of charge users)

 

Fire Safety

Fire exits must be kept clear at all times.  Internal fire doors must not be obstructed or propped open.

 

Smoking

Smoking is prohibited in the building and the area outside the front door at the top of the entrance steps.

 

Accident, Injury or Loss

Users are advised they are responsible for any accident, injury or loss arising out of their activities or by those attending.  The Church and persons connected with it cannot be held responsible for any such accident, injury or loss to persons or property.

 

Children & Vulnerable Adults

Organizations must have a Child (and Vulnerable Adult) Protection Policy where required by current government regulations or guidance.  A copy of the policy must be made available on request.

 

Risk Assessments

Users must carry out a risk assessment of their activity where required by current Health & Safety or Fire Safety regulations.

 

Insurance

Organisations using the premises should have public liability insurance to cover their activities while the church premises are being used.  Individuals using the premises for a private function should check that the public liability cover in their own household insurance policies includes cover for the event that they are organising.

 

Damage & Breakages

All damage and breakages must be reported.  Charges for any damage or breakages including handling costs will be invoiced.

 

Alcohol

If alcohol is to be supplied, then a Temporary Event Notice must be submitted to Peterborough City Council under section 100 of the Licensing Act 2003.  A copy of the Notice must be given to the Centre Administrator not less than one week before the event.
